Accreditation under the Qelvea Refined Finish Index™ is renewed every 12 months.
Renewal exists to confirm that:
- standards are still being applied consistently
- outcomes remain refined and wearable
- licensed use remains accurate and appropriate
It protects the credibility of the Index.
How Renewal Works
1️⃣ Renewal Invitation
Licensed practitioners or studios are invited to renew before the end of their accreditation period.
Renewal is not automatic.
2️⃣ Renewal Submission
To renew, applicants submit:
- a short renewal declaration
- a small set of updated outcome images
This usually includes:
- 2–3 recent case sets per service type
- before / after / in-wear images
The focus is on continued consistency, not re-proving everything from scratch.
3️⃣ Review & Confirmation
Submissions are reviewed to confirm:
- ongoing alignment with RFI criteria
- correct use of licensed marks
- no material change affecting conformity
Where alignment is confirmed, accreditation is renewed for a further 12 months.
4️⃣ Outcomes
Renewal may result in:
- Renewal confirmed
- Conditional renewal (minor clarification required)
- Renewal deferred
- Renewal not granted
Accreditation level may remain the same or be adjusted based on evidence.
If Renewal Is Not Completed
If renewal is not completed by the expiry date:
- accreditation automatically lapses
- licensed use must cease
- public register listings are removed
No grace period is implied unless explicitly stated.
Maintaining Recognition Under the Qelvea Refined Finish Index™
Accreditation under the Qelvea Refined Finish Index™ (RFI) is time-limited and subject to renewal to ensure the standard remains current, meaningful, and credible.
Renewal confirms that the principles of refinement, wearability, and longevity continue to be applied in practice.
How Often Renewal Takes Place
Accreditation is renewed every 12 months.
Renewal is not automatic and requires a short review to confirm continued alignment with the standard.
Why Renewal Is Required
Renewal exists to:
- protect the integrity of the Index
- ensure consistency over time
- confirm appropriate licensed use
- prevent outdated or historic recognition
It ensures the RFI reflects current practice, not past performance.
What Is Required for Renewal
To renew accreditation, applicants are asked to submit:
1. Renewal Declaration
A short confirmation that:
- professional practice continues
- services assessed remain materially unchanged
- licensed marks have been used correctly
2. Updated Outcome Evidence
A small set of recent outcomes demonstrating continued refinement.
This typically includes:
- 2–3 case sets per service type
- before, after, and in-wear images
Evidence should be:
- recent
- representative of current work
- unedited and anonymised
How Renewal Is Assessed
Renewal submissions are reviewed to confirm:
- ongoing alignment with RFI criteria
- consistency of outcomes
- appropriate licensed use
Renewal focuses on continued conformity, not re-assessment from the beginning.
Renewal Outcomes
Following review, one of the following outcomes will be issued:
- Renewal Confirmed
- Conditional Renewal (minor clarification required)
- Renewal Deferred
- Renewal Not Granted
Accreditation level may be maintained, adjusted, or withdrawn based on evidence.
If Renewal Is Not Completed
If renewal is not completed by the expiry date:
- accreditation automatically lapses
- licensed use must cease
- public register listings are removed
Reapplication may be required.
Early or Triggered Review
In certain circumstances, Qelvea Standards may initiate an early review, including:
- misuse of licensed marks
- material changes to services
- concerns relating to conformity
This ensures continued protection of the standard.
Renewal and Licensed Use
Only practitioners or studios with current accreditation may:
- reference conformity with the RFI
- use licensed marks
- appear on the public register
Expired or lapsed accreditation must not be referenced.
